AI workflows for small accounting firms.
In a 1–20 person accounting firm, the most expensive work is rarely the actual accounting — it's the chasing. Invoice nudges that never land on time. Document collection that takes three follow-ups. The weekly status email someone has to rewrite from scratch every Monday. These are the repetitive processes draining the most billable hours in your week, and they're exactly what AI workflows are good at replacing. We sit with your firm, cost which ones are worth replacing first, and build the workflows into the tools you already use (Xero, QuickBooks, Sage, FreeAgent, your CRM, your inbox). The client conversations stay with your team. The admin stops eating the week.
What we'd typically build for accountants.
- Invoice chasers that nudge clients on a schedule and quietly stop when paid
- Document-collection follow-ups for missing receipts, paperwork, and signatures
- Weekly client status digests pulled from your practice software
- Year-end / VAT-deadline reminder flows that match your service calendar
- Onboarding intake that captures everything you need before the first call
- Quiet anomaly checks that flag unusual entries before the partner sees them
Where your team's time goes back.
- Hours back on every partner's calendar each week
- Fewer late filings caused by missing client documents
- More time for proactive client conversations and new-business meetings
- Less bottleneck around quarter-end and year-end
Real engagement: 12-person accounting firm
We mapped how a client moved through their workflow, then built quiet automations for the reminder-and-status layer: invoice nudges, document-collection chasers, weekly status summaries. Their team got that time back to spend on the actual client conversations that grow the firm.
Questions accountants ask before they book.
What practice software do you work with?
Whatever you already use. Xero, QuickBooks, Sage, FreeAgent, IRIS, BTCSoftware, Capium: we layer AI and automation on top using your existing accounts and permissions. We don't ask you to migrate.
Will the automations contact our clients in our voice?
Yes. Every templated message goes through your sign-off before it goes live, and we tune the wording until it sounds like your firm. Clients shouldn't be able to tell the difference between a chaser written by your team and a chaser sent on a schedule.
What about HMRC, Making Tax Digital, and client data?
We work inside your existing accounts with your existing permissions, so the data path doesn't change. We don't centralise client data anywhere new, and we don't share it. If a particular automation touches sensitive data (PAYE, tax filings, payment information), we flag it in the audit before we build anything.
Can we start with one specific bottleneck?
Yes. If you already know the one thing draining your team (usually it's invoice chasing or document collection), you don't need a full audit. Tell us the bottleneck, we'll quote, we'll build it.
